Factory asset tracking: machines, tools and consumables in one place
On a shop floor, the costly losses are rarely the big machines. They are the measuring instruments that never came back to the tool room, the compressor whose AMC lapsed, and the grinding wheels that ran out on a Saturday night shift. Assets Tracker keeps machines, tools and consumables in one register, with labels you scan from a phone.

Familiar problems on the shop floor
-
Tools walk away
Power tools, torque wrenches, verniers, micrometers and gauges are issued from the tool room on a paper slip. When something is missing, nobody can say who had it last.
-
Machine AMCs and breakdowns
CNC machines, compressors, DG sets, forklifts and cranes all have warranties, AMCs and service visits. A lapsed AMC turns a routine breakdown into an expensive one.
-
Consumables run out mid-shift
Welding rods, cutting discs, grinding wheels, gloves and other PPE. The store finds out the stock is over when the supervisor comes asking.
-
Several plants and godowns
Each unit keeps its own register in its own format, and the head office never has one view of what the company owns and where.
-
Year-end physical verification
The auditor wants physical verification of plant and machinery and a depreciation schedule that matches the books. Matching old machine numbers to the register takes days.
-
Scrap without paperwork
Old machines and tools go to the scrap dealer, but nobody records the disposal or who approved it, and the asset stays on the books for years.
Tool room issue and return
Treat the tool room the way a library treats books. Every tool gets a label, and every issue is recorded against a person with a return date.
Label every tool and instrument
Print QR and Code 128 labels by category, numbered like
PLT/TOOL/001orPLT/GAUGE/014. The small 38×21 mm labels (65 per A4 sheet) suit hand tools and instruments; the 70×37 mm labels (24 per sheet) suit machines and cabinets. You can also print on a thermal roll.Issue with a return date
Scan the tool with a phone, check it out to the operator or fitter with a return date. A complete toolkit can be checked out as one kit, so all its pieces go out and come back together.
Get acknowledgement
The employee confirms receipt from a link with a code, so there is no argument later about what was handed over.
Return and check
When the tool comes back, scan and mark it returned. If it is damaged, log a repair against it.
Tools and equipment that stay with someone long term, such as a supervisor's laptop or a maintenance technician's kit, can be assigned for regular use instead of checked out.
Machines, stock and the rest of the plant
A machine register with photos
Each machine is recorded with at least one photo, its category and the department it belongs to: Machining, Fabrication, Assembly, Paint shop, Utilities, Quality, Stores. Use branches for each plant or godown. A photo of the nameplate removes any doubt about which machine is which during verification.
Warranty, AMC and repair history
Log warranties and AMCs for each machine, record every repair and breakdown against it, and get email reminders before a warranty or AMC expires. When the maintenance head wants to know how often the old compressor has failed this year, the history is on its record.
Consumables and spares as stock
Keep consumables and commonly used spares as stock items. Record every inward and issue, see the running balance and get a low-stock alert before the store runs dry. Stock is part of the Growth plan and above.
Office and control-room computers
For desktops in the office, stores and on the shop floor, Assets Tracker records 11 CPU parts, including processor, RAM, SSD, graphics card and power supply, with a history of every change.
Disposal with approval
On the Business plan, disposal and write-off need approval before they happen. When a machine goes for scrap, the record shows who approved it.
Physical verification and depreciation
On the Growth plan and above, run a physical audit by scanning, plant by plant. Walk the floor, scan labels with a phone, and follow up on whatever has not been scanned. Export the result to Excel or PDF, or give your auditor the read-only auditor role.
Depreciation is calculated as per both the Income-tax Act and the Companies Act (Growth plan and above). For general plant and machinery, Schedule II of the Companies Act gives a useful life of 15 years (not a continuous process plant), while the Income-tax Act uses a 15% rate on written down value. Schedule II also allows higher depreciation for periods when an asset works double or triple shifts. The details, with sources, are in our depreciation guide, and you can test any machine with the free depreciation calculator.
If your current register is an Excel sheet with gaps, the fixed asset register format guide shows the columns your auditor will expect.
Built for supervisors, not just the accounts team
- Use it in 13 Indian languages, including Hindi, Marathi, Gujarati, Tamil, Telugu, Kannada, Bengali and Punjabi, so supervisors and store staff can work in the language they read best.
- Works in the phone browser and the Android app. The phone camera scans labels; no separate scanner needed.
- Roles: owner, asset manager (for example, the store or maintenance in-charge), employee (sees only their own items) and auditor (read-only).
- Bring your existing machine list in by pasting from Excel; export to Excel or PDF any time.
- Data is stored on servers in Mumbai, India, with nightly backups. Logins from a new device need an email code.

Questions factories ask
Can we print labels on a thermal label printer?
Yes. Labels can be printed on a thermal roll, or on A4 label sheets in two sizes: 70×37 mm (24 per sheet) and 38×21 mm (65 per sheet). Each label has a QR code and a Code 128 barcode.
Can we track consumables like welding rods and gloves?
Yes, as stock items with inward and outward entries, a running balance and low-stock alerts. Stock is available on the Growth plan and above.
We have two plants and a godown. Can each be tracked separately?
Yes. Make each one a branch. Audits run branch by branch. Many branches are available from the Growth plan, and the Business plan adds branch-wise managers.
Can our supervisors use it in Hindi, Marathi or Gujarati?
Yes. Assets Tracker is available in 13 Indian languages: English, Hindi, Marathi, Bengali, Telugu, Tamil, Gujarati, Kannada, Malayalam, Punjabi, Odia, Assamese and Urdu.
Does it connect to Tally or our ERP?
No. Assets Tracker has no integrations or Tally export today. You can paste data in from Excel and export to Excel or PDF for your accounts team.
